VECC Digital Exhibition GDPR (General Data Protection Policy)

 
 
The VECC digital exhibition is a national hobbyist Photographic exhibition which is a member of BPE (British Photographic Exhibitions) 
BPE objectives are to encourage photographers to enter exhibitions and to recognize successful entrants via the issue of the Crown Awards photographic distinctions. Exhibition members share ideas, promote each other's exhibitions and generally work together to promote competitive photography 
 

Why we hold personal data

 
 
To allow administration of the exhibition, record entries, images accepted into the exhibition, communicate results, create and post catalogues to all entrants. To advise registered past entrants when the next exhibition is opening for entries. 
 
To prevent images accepted in past exhibitions being re-entered.  
 

What personal data we hold and how we use this

 
 
We hold entrants Names, Photographic distinctions, email addresses, Postal Addresses, Telephone numbers, Passwords (now encrypted) for exhibition website, Images & categories entered & those also accepted. 
We use this data to record entries, images accepted into the exhibition, communicate results, create and post catalogues to all entrants. We also supply a copy of all results to the BPE Awards Officers to aid their administration of the Crown Awards Scheme. 
 
We do not retain any personal payment details beyond the entry fee amount and PayPal Transaction ID reference number. All financial transactions are handled external to the exhibition website via the secure PayPal website.  
As detailed in the exhibition rules: All entrants must be aware that any accepted images will be viewable in an Exhibition Catalogue, on a CD, used to promote the Exhibition and posted on the Website for the duration of the Exhibition. Images may be used in the promotion or marketing of the exhibition and in press and magazines.  
  
We advise registered past entrants when the next exhibition is opening for entries. 
 
VECC does not provide entrant contact information to any third parties unless the specific entrant has agreed to this. 
 
VECC does not sell or distribute any contact information. 
 

Entrants access to personal data

 
 
Entrants have access to their own personal contact data, via the password controlled ‘My Account’ section of the exhibition website. 
 
They can review and amend/update as they wish. There is also an option to delete their record. 
 
They can also contact the exhibition, using the contact details and request that their record is amended/updated.  
 

Entrant database :

 
 
Personal data will only be retained in the website database for as long as it is relevant. Entrants can request, by contacting the exhibition, that their personal data be removed from the database at any time and will be removed within 1 month of such a request being made. If all data is requested to be removed, specifically including their name and any current entry then their entry into the current exhibition will be voided.  
 
VECC may retain historic data for archives purposes for example but not limited to: Names, Photographic Distinctions, Awards & Images details which have been accepted in past exhibitions. Limited data may also be archived off-line for history purposes.
