EXHIBITION RULES

 
 
The exhibition is open to all photographers in the UK / CI / IofM. 
 
Entry can be made online, which is our preferred option, or manually by posted CD. 
 
Images must be submitted in JPEG (ie .jpg) file format only. No other form of image will be accepted.  
 
There are four categories:  
• Colour Images (COL)  
• Monochrome Images (MON)  
• Natural History Images (NH)  
• Experimental/Creative Images (CRE)

No more than 4 images may be entered in any one category, ie. a total of 16 images for the exhibition. 
 
Images should be a maximum of 1400 pixels in width and 1050 in height. Note THIS IS A LANDSCAPE FORMAT: 1400 WIDE x 1050 HIGH. Portrait format images should be a maximum of 1050 pixels high and width as required. Images smaller than these maximum dimensions will automatically have a black background applied to take it to the judging dimension of 1400x1050. Images will be projected for judging with a controlled colour space to sRGB

All entries must have originated as a photograph, either film or digital and been taken by the entrant. Images may be manipulated, with the exception of Natural History images where normal PAGB Nature rules apply - see FAQs, however all manipulation and any adjustments must have been done by the entrant. 
 
Images accepted in a previous Vale of Evesham Exhibition, or which, in the opinion of the organisers, are too similar to those accepted in a previous Vale of Evesham Exhibition are not eligible. Any Image or Similar Image may not be entered into more than one section, including mono versons of a colour image also entered. 
 
The organisers reserve the right to withhold from posting on the web any entry which they consider to be undesirable in content. 
 
All entrants must be aware that any accepted images will be viewable in an Exhibition Catalogue, on a CD, used to promote the Exhibition and posted on the Website for the duration of the Exhibition. 
 
Images may be used in the promotion or marketing of the exhibition and in press and magazines. 
 
We make available for purchase a PC-Compatible CD containing sealed shows of accepted images which adjust to the available computer screen size. This will allow individuals and clubs to see the full selection of acceptances. 
 
The organisers will make every effort to deter viewers from downloading the images from the website or CD, but authors must realise that this is a possibility. Copyright of any part or whole of the image resides with the author and he/she must accept that his/her work may be downloaded from the website or CD. 
 
Any image downloaded however, will not be of good enough quality for reproduction in any other media. Entrants agree to their details being stored on the exhibition computer database. 
 
 

ONLINE ENTRY

 
 
Online entry is the preferred entry method. If however you do not have an email address then you will be unable to register for online entry and have to submit entries by posted CD. 
 
The Online method allows photographers to upload their entry, rename images as required, select categories and pay their entry fee online using Paypal or credit card. Entrants not wishing to pay online can send a cheque by post with an entry reference number. 
 
Please read the rules before entering. 
 
Important - After completing each stage below and before moving to the next screen click the "SUBMIT", to save your changes, or "CANCEL" button at the bottom of the screen.  
 
Step 1: “Register as a new entrant or retrieve your past entry record”. To do this enter your email address and surname. An email will then be sent to your address with your password. If two entrants use the same email address and share the same surname then their accounts will be identified by different passwords. 
 
Step 2: “Login to enter Images” using your email address and initially the automatically generated password emailed to you.  
 
Step 3: “My Account” Check/Add your name, distinctions and address details or amend as necessary. You may also change your password if desired. Following any changes an email will be sent to you as confirmation and also as a future record of your password. 
 
Step 4: “Add Images” Upload your images 1 or more at a time, you can repeat this step. Click to browse to where, the correctly sized, jpg images are located on your computer.  
 
Step 5: “Check Images” Enter titles and allocate to categories (using Drop-Down list). The Title which you add will be used for your image in the exhibition. Please do not try to change/edit the image FILE name which you uploaded, this is separate to the image TITLE. For online entry no category prefix is required before the Title, this is only required when entering by posted CD. 
 
Steps 4 & 5 can be repeated if you have not loaded all of your entry in this session. The images loaded so far will be retained. Unwanted images can be deleted at stage 5 using a drop-down Keep/Delete located beneath each image. 
 
Step 6: “Pay for Entry” Submit and pay for your entry online using Paypal or a credit card. Alternatively, if you wish, select pay by cheque and an entry reference number will be given to send with your cheque. 
 
After payment no further amendments to your entry are possible. 
 
An email will be sent to you listing details of your entry. 
 
After the selection a report card will be emailed giving your image scores 6 to 15 and listing any acceptances/awards. 
 
 
 

ENTRY BY POSTED CD

 
 
Entry can be made online, which is our preferred option, or manually by posted CD. 
 
Entrants who do not have an email address will be unable to register for online entry and have to submit entries by post. 
 
Please read the rules before entering. 
 
If using a posted CD then please complete the downloaded manual Entry Form using BLOCK CAPITALS or complete and print the machine fillable form and place with your CD and entry fee. 
 
With the machine fillable form, which allows you to enter your details onscreen, use the TAB key to move to the next text entry box. After you have filled in the number of images to be entered the entry fee will be automatically calculated and entered as you tab across the fees boxes.

Images must be submitted in JPEG file format only, directly onto a CD (PC format) and not in folders. 
 
Individual author disk(s) only. Do not share disks and the CD should be closed/finalised. 
 
There are four categories: 
• Colour Images (COL)

• Experimental/Creative Images (CRE) 
 
ONLY for CD entry the FILENAME must be the CODE for the category entered, immediately followed by a hyphen and then the TITLE of the image.  
 
No spaces between the CODE, HYPHEN and TITLE, for example: 
     NH-Arctic Tern 
 
The Arctic Tern image is therefore entered into the Natural History Category. 
 
All submitted materials will not be returned. 
 
All entry Floppy and CD disks will be destroyed 1 month after judging.  
 
Each CD must be clearly labelled with the author’s name, postcode and e-mail address (if applicable), by using a fine permanent marker pen on the top surface. Individual author disk(s) only, do not share disks.

After the selection a report card will be posted giving your image scores 6 to 15 and listing any acceptances/awards. 
 

ENTRY FEES

 
 
Cost of entry is £1.50 per image, with a minimum entry fee of £6.00.  
 
There is a limit of 4 entries per category that you can enter. You can therefore enter a maximum of 16 images, four each in four categories.  
The minimum entry fee is for the whole exhibition and not per category.  
 
You could, therefore, enter one image in each of the four categories for your £6.00 minimum fee. 
 
In addition the exhibition make available for £5.00 a Windows PC-Compatible CD containing sealed shows of accepted images which adjust to the available computer screen size. This will allow individuals and clubs to see the full selection of acceptances. 
 
Cheques and Postal Orders should be made payable to:  
   VECC  
 
Please remember, return postage is not required as all entries will be destroyed.  
 
Postage of your Acceptance Notification and Printed Catalogue are included in your entry fee.  
 
All entrants will receive a Catalogue listing all accepted images and also reproductions in colour & black & white, as appropriate, of a selection of the award winning images.

EXHIBITION CALENDAR

 
 
Entries will be received from 1st January 2017.  
 
Online and postal entries and fees must be received by 28th February 2017.  
 
Any received after that date will not be eligible.  
 
Selection Days are 11th and 12th March 2017.  
 
Exhibition posted on the Website Photo2017.net on 10th April 2017.  
 
The Website will be viewable until December 2017. 
 
Notifications and Catalogues sent out to all entrants, 10th April 2017.
